End User Questions 1. I uninstalled eDocXL™ and tried to reinstall. Now I get the error "‘EDivByZero"? If the "EDivByZero" is shown on the start up of eDoc, then you will need to do the following: i. Uninstall eDocXL™. ii. Download eDocDrvRmv.exe from www.edocplus.com/downloads/other/eDocDrvRmv.exe. iii. Run it. iv. Restart your computer. v. Install the latest eDocXL™ version (4.5.2). If you do not have this version, you can download it from www.edocplus.com. 2. I tried the email synchronization but I couldn't see anything in the email folder? Please note that the Email folder is empty until you set-up the Email Synchronization options. You can check the following tutorial at www.edocplus.com/downloads/zipped/eDocXL_4.5_email_tutorial.htm. 3. I cannot find the Dutch language for OCR in the version I have downloaded? The versions of eDoc™ that you can download from the Internet, do not include a full language pack, to reduce the filesize. In order to have Dutch OCR support, you will need to: 1. Download the file Dutch_Flemmish.exe from www.edocplus.com/downloads/languages/Dutch_Flemmish.exe. 2. Copy the file into the installation folder of eDocXL™ (the default is "c:\Program Files\BSI\eDocXL"). 3. Run Dutch_Flemmish.exe. 4. Run eDocXL™. This time it should have Dutch and Flemmish added on the drop-down list. If you want the full language pack you can download it from www.edocplus.com/downloads/languages/FullLanguagePack.exe and follow the previously mentioned steps. This language pack includes all the languages supported by the ABBYY FineReader engine. 4. With eDocXL™ 2 Licence pack, can I access to the same database and document archive? You can access the same document archive but not the same database. eDocXL™ 2 Licence pack has a standalone database. You need eDocXL™ CS to access the same database. 5. Where and how does the program store its data? Document files are stored in standard Windows folders (directories), while the metadata is stored on an SQL database. 6. What are the limitations of the "Try & Buy" trial-version that could be downloaded (time-expireing, locked functions)? The "Try & Buy" version is a FULL version with a time limitation of 30 days upon installation. Within these 30 days you must register the software, in order to register you need to have a valid Purchase ID which you can only get if you purchase online a license. 7. Does it have an (good) uninstaller? Does it contain ad-ware, spy-ware or other internet-communication functions? eDocXL™ has a complete uninstaller and does not contain any ad-ware or spy-ware. It does communicate through internet only with our registration & update server, for automatic online registration and online updates. 8. During the installation I got a warning message saying that your printer drivers were not approved by Microsoft and installing them may give me printing problems now or in the future. How can I overcome this problem as it looks a brilliant piece of software? This is a just no-sence warning. Microsoft does this in order to get more money from the developers. It is only for the PDF printer driver installation, so that he can create PDF files. Just ignore it. We warranty that it will not create any problem. You can also choose not to install the printer driver, but in that case he will not be able to create PDF files. Sales Issues 1. What scanners are supported? Full support for all Twain compliant scanner including double sided scanning as well as automatic document feeders. Support for ISIS will be added in the near future. 2. Can eDocXL™ support non Twain compliant scanning devices and multifunction digital copiers? eDocXL™ can support any scanning devices through the folder synchronization function. The user can set the scanning device to scan the documents to specific directory path, which then is synchronized with eDocXL™. All files that are stored in this directory are automatically imported/filed into eDocXL document base. 3. What document types are supported? Supported document formats: eDoc™ can handle all different image types (tiff including multi page, jpg, gif, bmp, pcx) as well as pdf files, text files, Microsoft Office documents and MAPI emails. It can create thumbnails and add notes and notations to all supported documents. 4. What OCR functionality is supported? eDoc™ uses the full ABBYY Fine Reader engine (latest version) for OCR. It can do text extraction, segmentation and document recreation of all common image types and PDF (image and text) files. It can export to Microsoft Word, Microsoft Excel and PDF. 5. Does eDocXL™ support backup functions? eDocXL™ can backup and restore documents and meta data very easily with a few mouse clicks. 6. Does eDocXL™ duplex scanning? eDocXL™ supports Duplex Scanning with all major document scanners. 7. Can I scan using the Twain interface of my scanner? eDocXL™ supports scanning both through the scanner's twain driver interface or directly without using the twain interface. 8. How can I organize my documents with eDocXL™? You can create several document folders in which the documents are stored. This way you can categorize your documents the way you want and create cases or associate documents. Each folder may include subfolders. 9. Does eDocXL™ support scan to PDF? eDocXL™ supports scan to pdf. It can create both image or image+text pdf (using OCR). 10. Can I configure the PDF resolution of the files created by eDocXL™? You can set the PDF file resolution at the Scanning Settings form. 11. Can I view and annotate PDF files in eDocXL™? The eDocXL™ viewer supports PDF viewing and anotating. 12. Can I convert PDF files to Word or Excel? eDocXL™ supports PDF file convertion to Word or Excel retaining the original format of the document. 13. Can I convert any document to PDF? With eDocXL™ you can convert any document type (text or image) to PDF. 14. Can I define several scanning settings like resolution, color depth, document type, file type, file location, OCR language, etc.? All possible scanning settings can be defined by the following menu selection [Documents]/[Scan]/[Scanning settings]. 15. Can I change the size of the thumbnails? You can define the size of the thumbnails. Select [File] / [General Options] / [Thumbnails] Drag and move the sliders in order to change the thumbnail's size. Multi user Issues 1. How are the documents stored with eDocXL™ CS? Documents are stored on a document server and are accessed from eDocXL™ clients through Windows Sharing. 2. What is the maximum volume of documents that eDocXL™ can handle? The number of documents is theoretically infinite, however we suggest a few thousands per folder and a few hundreds of thousand as a total. 3. What is security access level on eDocXL™ CS? eDocXL™ CS has access rights per folder. Each folder can be private, public or accessible via specific users defined from the administrator. 4. What user access rights are supported? The administrator can define the following access & functional rights per user on folders and documents: Create, Delete, Rename folder, Import, Rename, Delete, Copy document, Scan, OCR, Change properties. 5. What database is eDocXL™ CS using? An SQL database is used to store document metadata. Currently MySql is supported. Support for other relational databases will be added shortly. 6. How many metadata fields are supported in eDocXL™? Metadata Fields: Title, Subject, Keywords plus to 6 user definable fields. 7. What is the purpose of the eDocXL™ Document Server? eDocXL™ Server is responsible for document storage and archival, user and rights management, document locking, backup, restore, and client communication. 8. What is the purpose of the eDocXL™ Client? eDoc™ Client: The application that runs on user workstations and allows them to perform all document management operations. 9. What is the eDocXL™ Web Server? It provides a web interface that allows a user with an ordinary web browser to do most document management operations, through internet or intranet. 10. Can eDocXL™ stand alone work in a multi user environment? eDocXL™ stand alone can access documents stored in shared network folders. This way multiple users can access the same documents using eDocXL™ stand alone installation. No users access rights can be applied in this case. Advanced Functionality 1. What is Folder Synchronization? An eDoc™ folder can be synchronized with any Windows folder. So any file added or updated in the windows folder it will automatically be imported/filed/updated in the synchronized eDoc™ folder. When you create a new eDoc folder or when you select [Folder properties] you can define or delete a synchronized folder in Windows by selecting [Sync] or [Delete Sync]. 2. Can I batch import all my existing documents in my PC? Use the Import Documents function to batch import ALL your existing files in your PC (photos & images, office files, PDFs, etc) You can also select the Folder Synchronization and Full Text Indexing Options. This way all your digital documents will be automatically filed in edoc. You can Full Text Index even image documents with the embedded OCR function. 3. What are the eDoc™ Shortcuts? You can create shortcuts of eDoc™ documents giving you faster and easier access to them. Using Drag and Drop you can drag a document from the Documents to the Shortcuts window. Then anytime you need to quickly access these document(s) you only have to click on document shortcut. 4. How do I make sure that the OCR result is accurate? eDocXL™ has a complete OCR engine, you can adjust several OCR options by selecting [Documents]/[Scan]/[Scanning settings]/[Automatic recognition]. Make sure you set the correct document language, file type and the layout of the output file, i.e you can set the file output to be PDF or RTF and the layout 'Recreate Source Document'. This way you can convert scanned documents to text searchable PDFs or editable WORD files. 5. What is the minimum scanning resolution for OCR? We suggest that you set the scanning resolution at 300dpi, to obtain optimum results. 6. Can I OCR a badly printed document? You can succesfully OCR a document in very bad condintion. In the OCR options select the Clean Image option. This option removes scratches, dirt and background noise, also it enhances the focus and the layout of each character. So the OCR engine can recognise a lot better the badly printet text. Note this options delays the whole OCR process, but guarantees optimal results. 7. How does eDocXL™ supports Drag & Drop? Documents can be imported from other applications by using the Drag and Drop feature. You can drag & drop any file into eDoc™ from any other application or the windows desktop or the Windows Explorer. To do this the Drag&Drop out icon should be disabled. You can drag & drop a document out of the eDoc™ to another application (that supports drag&drop in), by clicking/enabling on the Drag&Drop icon. 8. How is Full Text Indexing working? eDoc™ extracts text from several document formats including many image types, Microsoft Office documents, eMails, and PDF files then it creates a Full Text Index (FTI), which enables users to search documents according to their content. Full text index is performed on the client software in both standalone and CS Versions. 9. How is PDF creation is supported? eDocXL™ can create high quality PDF (image and text) files from any Windows application, using its own Virtual PDF Printer (no Adobe Acrobat software needed). 10. What is the PDF Creator? PDF Creator is Virtual printer driver that creates PDF files from any application. 11. Can I convert PDF files to Word or Excel? eDocXL™ converts any PDF file to Word, Excel, and HTML, formats. 12. Can I scan Business Cards with eDocXL™? eDocXL™ CS quickly scans the printed information from the business cards and accurately converts this to the appropriate fields of a powerful database. 13. What Business card information is recognised? Automatic recognition and Indexing of all the printed information on business cards, such as Name, Position, Company, Address, Fax, Email, Web Address. 14. Does the recognised business card info is exported to Outlook? Easy Export to Outlook, Excell, Dbase and from there to most PDA's. 15. What Business card languages are supported? Support of ALL THE EUROPEAN LANGUAGES. 16. Can I archive emails in eDocXL™? You can Auto File emails to specific eDoc™ folders according to their email content. 17. Can I set mail import rules? You can define rules to delete emails based on their content (antispam tool). 18. Can I search and retrieve emails in eDocXL™? Full Text Index and Retrieve emails and their attachments including multipage PDFs. Search and Retrieve emails based on their content a lot faster than Outlook or any other mail client or desktop search software. 19. Can I import email attachements? Import in eDoc™ email attachments with one click. 20. How can I preview emails in eDocXL™? Preview all eMail attachments with one click. The user doesn't have to open each attachment separately in order to view it. 21. Do the emails stay in their original file store? eDocXL™ stores copies of the emails in a different file store providing a perfect backup solution to annoying .pst file crashes. 22. Can I have a total solution for ALL my documents? With eDocXL™ you can file emails for a specific case/subject in the same place that you file all relevant documents (scanned images, digital documents, pdfs, etc) of this case. 23. How eDocXL™ connects with Microsoft Word, Microsoft Excel and Microsoft PowerPoint? During eDoc™’s installation, a toolbar is added in Microsoft Word, Microsoft Excel and Microsoft PowerPoint. The toolbar is called "eDoc™ bar" and has two buttons: 1. "Send to eDoc™" 2. "Get from eDoc™" This way you can access eDoc™ functionality within MS Office applications. 24. How eDocXL™ deletes documents and folders? By deleting a document or folder will only send it to eDoc™'s "Deleted documents" folder. To permanently delete it you you need to delete it from "Deleted documents" folder. 25. Can I print to PDF when eDocXL™ is not open? To use the PDF printer, eDoc has to be running. 26. Is the "name" field of document the same as its actual filename? The "Name" field of a document does not have to be the same with the actual name of the file in the disk. 27. Can I change the document metada of many selected documents together? You can change the properties of multiple documents together. 28. Can I file web pages in eDoc™? eDoc™ allows you to capture full web pages from Microsoft Internet Explorer with a single key press (F12). The resulted web page will be added in your "Web Pages" folder. 29. Can other users access muy Web Pages folder? Web Pages is a private folder and is accessible only by you. 30. How does eDoc™ Full Text Index scanned image documents? You can extract the text that appears in an image document by using the OCR tool of eDoc™. The first 256 characters of the OCR results will be stored in the "Text" field of the document, if you don't choose to save them to a file. 31. What is the usage of the "DataBase Check" function? Database checking will help you delete eDoc™ documents with no corresponding files in the hard disk. 32. Can I export the Business Cards contact info to Outllok? You can export the contents of selected business cards directly to the Address Book of Microsoft Outlook or Outlook Express. Installation Issues 1. What is the installation sequence of eDocXL™ CS? 1.
